Reservation confirmation requires complete and accurate information & payment. Upon confirmation, W/2 Rentals ensures the vehicle you chose is yours and will be there when you need it.
Confirmation, Payment Requests and Receipts, Rental Agreement and Insurance documents will come to the email you provided when you set-up your account.
PICK-UP
A representative from W/2 Rentals will meet you at the location you selected. This is included in the rental summary. Our vehicles are located at the Walla Walla Regional Airport at the Port of Walla Walla.
When you pick-up, we’ll check driver’s license to make sure it’s you, go over the rental summary, vehicle features, operations and systems, then hand you some keys and you’re on your way!
(Note: As it is Washington State Law, W/2 Rentals also requires Renter and Drivers carry a proof of insurance card or copy of their auto insurance policy.) We also recommend that you have a copy of the additional insurance you purchased, with you for proof of coverage for the rental.
RETURN
Return the vehicle to the location you selected in the rental summary. If you have selected a custom drop-off location, a representative from W/2 Rentals will greet you.
Make sure you have all your belongings.
Check that the vehicle is clean.
In the event you’ve had an accident, incurred damage or you feel the vehicle may need some extra cleaning because of an unforeseen mishap, please let us know, it’s always helpful. Fill-out an “accident form” (found in the glove box) and review it with the W/2 Rentals representative.
If you are not met by a W/2 Rentals representative when you are returning the vehicle, please text or call (509) 240-9343, and a W/2 representative provide you instructions on next steps.
THINGS TO KNOW
Do I need to fill up the fuel before I return the vehicle?
Yes you will need to fill the tank. Otherwise W/2 Rentals will charge you to fill it.
Is a credit card required?
Yes, all reservations are made with a major credit card. We do not accept cash.
Do you have a mileage limit?
Mileage of the Rental Vehicle at the time of pickup is listed in the Rental Summary. You may drive the Vehicle 200 miles per rental day without any additional charge. Any miles over this limit are subject to an excess mileage surcharge of $0 .50 per mile. If you chose the “Road Trip Unlimited” plan in advance, you will not be charged for mileage overages.
NO SMOKING allowed in the vehicle.
A smoking fee will be assessed if the Vehicle smells like smoke when returned. Smoking or vaping in the Vehicle is prohibited. You will be charged our actual cost of deodorizing the Vehicle, plus an administrative fee.
No PETS allowed in vehicle.
Unlike the smoking policy but a bit like the mileage policy if you let us know your plans in advance we may be flexible with this policy. However, just like the mileage policy written authorization is given by a W/2 Rentals representative before your reservation pick-up date, and when provided, any exception will be verified at pick-up. Any instance including when an exception is provided, a cleaning fee and per rental-day use-fee may be charged to you. If you ignore this policy the fees above and an administrative fee will be charged to you.
Will my auto policy provide coverage?
Most personal/business auto insurance policies and most most major credit cards do not cover RV’s. We recommend that you check your insurance policy with your insurance agent or broker.
We do not underwrite insurance. We do provide you with easy access to purchasing a required per rental day coverage policy. See more about this in the Insurance section below.
How old do I need to be to rent a vehicle?
You must be at least 25 years of age. Also you must have held a valid license for minimum 1 year to rent from W/2 Rentals.
What proof of identification (ID) / documentation do I need to bring with me when I pick-up and use the vehicle?
A valid driver’s license for Renter and all Driver’s on the reservation. We will verify identity and insurance.
Washington State Law, RCW 46.30.020, proof of insurance is required by drivers, specifically “written proof of financial responsibility for motor vehicle operation.”
TAXES & FEES
In addition to the (8.9%) state sales tax, a (5.9%) state rental car tax is applied the the daily rate.
We appreciate that there may be multiple drivers for your rental. There’s a $15 one time fee for each additional driver(s), this is for our processing of each driver added to a reservation.
Custom Pick-up and Return locations there is a $35 one time fee for each custom selection.
$0.50 per mile for miles over 200 per rental day. For example, if you rent the vehicle for 3 days and return it with 700 miles, you will be charged an additional $50.00 ($0.50 x 100 miles over the 600).
Fee for those who decide to ignore our NO SMOKING policy.
Fee for those who ignore our No Pet policy.
Additional fees may apply, depending on additional equipment you the renter have selected, or issues or damages found upon your return of the vehicle
CANCELLATION POLICY
We know that travel plans can change. Let us know if they do!
If you cancel or alter your reservation more than 21 days before the scheduled Pickup, we will refund you up to a full refund of any pre-paid fees, less a processing charge of [3.0%].
If you cancel or alter your reservation on or between 21 and 15 days before the scheduled Pickup, we will refund you up to 75% of the prepaid Rental, less a processing charge of [3.0%].
If you cancel or alter your reservation on or between 14 and 8 days before the scheduled Pickup, we will refund you up to 50% of the prepaid Rental, less a processing charge of [3.0%].
If you cancel or alter your reservation within 7 days before the scheduled Pickup, we will provide NO REFUND of the prepaid Rental Fees.
Note: Your booking request will be placed in PENDING RESERVED status for a period of 48 hours. This is the time provided for you to complete the insurance coverage and security deposit authorization steps. Please review all of the terms of the Vehicle Rental Agreement. If insurance coverage step has not been completed within the 48 hours, our reservation system will cancel the Booking Attempt and the status will move from PENDING to CLOSED. If payment of the Amount Required to Reserve (40%) is not made, your Booking Request will not be processed.
INSURANCE
Most personal/business auto insurance policies and most most major credit cards do not cover RV’s. We recommend that you check your insurance policy with your insurance agent or broker.
We do not underwrite insurance. We do provide you with easy access to purchasing a coverage policy, through our insurance partner. W/2 Rentals policy requires you the renter to purchase Motorhome Rental Insurance for your rental period from our Insurance partner. Your cost of this is $21.00 per rental day. Step-by-step directions will be included attached to your “Confirmation” email. Additional information regarding Supplemental Liability Insurance (SLI) and other Insurance products may also be made available to you.
Once purchased, W/2 Rentals will receive an insurance addendum verifying insurance has been purchased for your booking.
Security Deposits
W/2 Rentals will charge you, the renter a $1,500 Refundable Security deposit. Deposit Refunds are typically issued within 5 days of the rental return. This allows a W/2 Representative time to thoroughly inspect the vehicle and check for damages and any issues. If no issues exist you will receive a full refund.
Of course we know that things do happen, if something gets damaged or happens during your rental, please fill out the damage sheet in the glovebox.
Like any other vehicle rental company, you’re required to sign a vehicle rental agreement. Our agreement is similar to most you will sign in the State of Washington.
Our vehicle rental agreements are clear. We expect this will help you comply with our policies and further enjoy the use of our fantastic vehicles!
